1. Introduction
Kloz LLC ("Kloz", "we", "us", or "our") operates the Kloz platform at kloz.pro (the "Service"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to visitors to our website, users of the Service, and people whose information you process through the Service.
2. Information We Collect
We collect information in three ways.
From you
When you create an account or contact us, we collect information you provide, including your name, email address, business name, role, phone number (if you choose to provide it), and any other details you submit through forms, support requests, or onboarding flows.
From your use of Kloz
When you use the Service, we process the lead data you input or import (names, contact information, property details, lead source, notes, status), the communications you send through the Service (SMS, email, voice transcripts, in-app messages), and the configurations you create (routing rules, scoring criteria, integrations). This is your Customer Data and you own it.
Automatically
When you visit our website or use the Service, we and our service providers automatically collect certain technical information, including IP address, device and browser type, operating system, referring URL, pages viewed, and timestamps. We use product analytics (PostHog) to understand how the Service is used and to improve it. See the Cookies section below for more.
3. How We Use Information
We use the information we collect to:
- Operate, maintain, and provide the Service to you.
- Process and route leads, send communications you initiate, and run integrations you configure.
- Improve and develop the Service, including refining AI models that power lead scoring and routing.
- Communicate with you about your account, product updates, security alerts, and support requests.
- Detect, prevent, and respond to abuse, fraud, and security incidents.
- Comply with applicable law and respond to valid legal requests.
4. Sharing of Information
We do not sell your personal information. We share information only as described below.
Subprocessors. We use trusted third-party providers to operate the Service. Current subprocessors include:
- Vercel (hosting and edge delivery)
- Neon (managed Postgres)
- Clerk (authentication and user management)
- Anthropic (AI model inference)
- OpenAI (AI model inference)
- Twilio (SMS and voice)
- Stripe (billing, when applicable)
- Resend (transactional email)
- Cloudflare (DNS, CDN, and DDoS protection)
- PostHog (product analytics)
Each subprocessor is contractually bound to handle information consistent with this policy and applicable law. We may update this list as the product evolves.
Legal and safety. We may disclose information if required by law, subpoena, or court order, or if we believe disclosure is necessary to protect the rights, property, or safety of Kloz, our users, or the public.
Business transfers. If Kloz is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will notify you of any change in ownership that affects your information.
5. SMS Messaging
When an operator using the Kloz Service sends SMS messages to a recipient through our integrated telephony provider (Twilio), the following terms apply to that messaging program.
Opt-in. Recipients consent to receive SMS messages by (a) submitting their phone number through a lead capture form on a Kloz operator's website or a Meta Lead Ad form that includes an SMS consent checkbox, (b) texting START to the operator's number, or (c) providing verbal consent in person and being added manually by the operator. Operators are responsible for collecting and retaining proof of consent.
Message frequency. Message frequency varies depending on the conversation, but is typically 1 to 5 messages per week per recipient.
Costs. Message and data rates may apply. Charges are determined by the recipient's wireless carrier and are the responsibility of the recipient.
Opt-out. Recipients can opt out at any time by replying STOP, END, CANCEL, UNSUBSCRIBE, or QUIT to any message. Opt-out is honored automatically and immediately by Twilio. To resubscribe, recipients can reply START.
Help. Recipients can reply HELP at any time to receive support information.
Carrier liability. Wireless carriers are not liable for delayed or undelivered messages.
No sale or sharing of mobile numbers. We do not sell, rent, or share recipient mobile phone numbers with third parties for marketing or promotional purposes. Mobile numbers are processed solely to deliver messages on behalf of the originating Kloz operator and to comply with carrier and regulatory requirements. Mobile information is never shared with affiliates or external parties for cross-sell or independent marketing.

6. Data Retention
We retain account information and Customer Data while your account is active. After you delete your account or terminate the Service, we keep your Customer Data available for export for 30 days, then delete it from our active systems. Backups containing your data may persist for a limited period and are then deleted in the ordinary course. We may retain certain information longer if required to comply with legal obligations, resolve disputes, or enforce agreements.
7. Security
We use industry-standard safeguards to protect information, including encryption in transit (TLS) and at rest, role-based access controls, audit logging, and key management (KMS) for sensitive credentials. We strive to protect your information, but no system is perfectly secure. You play an important role: use a strong password, enable any available multi-factor authentication, and notify us promptly if you suspect unauthorized access.
8. Your Rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent. Kloz is designed to comply with the California Consumer Privacy Act (CCPA) and the EU General Data Protection Regulation (GDPR) where applicable.
You can exercise most of these rights directly in the Service (account settings, data export, account deletion). If you need help, email privacy@kloz.pro and we will respond within a reasonable time. You also have the right to lodge a complaint with a supervisory authority in your jurisdiction.
9. Children
The Service is intended for business users and is not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact privacy@kloz.pro and we will take steps to delete it.
10. International Users
Kloz is operated from the United States, and information we process is stored and processed primarily in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored in, and processed in the United States, where data protection laws may differ from those in your country.
11. Cookies
We use cookies and similar technologies for two purposes: (a) essential cookies required for authentication and core Service functionality, and (b) optional analytics cookies (PostHog) that help us understand product usage. Where required by law, we will ask for your consent before setting non-essential cookies. You can control cookies through your browser settings.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service before the changes take effect. The "Last updated" date at the top of this page reflects when the policy was last revised.
